It comes ready to use, with a price point that’s easy to justify and a feature set that covers the basics. But the moment your operation has specific workflows, unusual job types, or systems that need to talk to each other, you start hitting walls. You adapt your process to fit the software instead of the other way around, and every workaround you add is a small tax on your team’s time and patience.

The core of any field service platform covers five areas: work order management (creating, assigning, and tracking jobs), scheduling and dispatch (matching the right technician to the right job at the right time), a mobile app for field staff to receive jobs, complete checklists, and log time and materials, customer communication (notifications, portals, or both), and reporting so operations managers can see what’s actually happening. Beyond the core, priorities differ. A company running preventive maintenance will need asset history and recurring scheduling logic. One doing emergency response will prioritise SLA tracking and rapid dispatch. Before any scoping call, it’s worth writing down the three or four biggest friction points in your current process — those usually identify your must-have features faster than any checklist.
User count matters in two ways: it shapes the architecture (a 20-person team and a 2,000-person operation need different concurrency and data models), and it affects licensing cost if you ever switch vendors or need third-party services inside the system. When planning capacity, count by role: mobile field technicians, back-office dispatchers, supervisors, and any external users like customers or subcontractors. Field users and back-office users often have very different session patterns — a dispatcher is logged in all day, a technician logs in to accept a job and logs activity intermittently. The real questions are what data needs to flow in which direction, and how often. We audit your existing systems in the discovery phase, map the data flows, and either use pre-built connectors or build API integrations as part of the project scope. If a legacy system only supports file-based exports, we can build scheduled import pipelines to bridge the gap.
The more clearly you can describe your current process and its specific pain points, the more accurate and useful the proposal will be. You don’t need a finished specification — but understanding what’s broken today and what a successful outcome looks like in 12 months focuses the conversation significantly. It also helps to know: your rough user count by role, which systems you already run, whether you need native mobile apps or a responsive web app is sufficient, and whether you have any compliance or data residency requirements. Budget range is worth being open about — not because it anchors negotiation, but because it lets a good development partner tell you honestly whether what you need fits, or whether a phased approach makes more sense.
